Effective date: August 28, 2026
This Privacy Policy explains how Association Webworks LLC ("Association Webworks," "we," "us," or "our") handles information through the X-Games Team and X-Games Judge mobile applications and the related X-Games competition service (collectively, the "Services"). The Services are restricted operational tools for authorized competition participants, judges, dispatchers, and administrators.
Information we process
X-Games Team
- Assigned team name, team identifier, authentication credentials, and session token.
- Precise or approximate device location, including latitude, longitude, accuracy, and timestamps.
- A randomly generated installation identifier used to distinguish multiple devices signed in for the same team.
- Assignment information and team actions, including acknowledgment, on-scene, and clear status.
- Basic technical and connection information, such as IP address and server diagnostic records.
X-Games Judge
- Assigned judge identifier, authentication credentials, and session information.
- Assigned scenario and team information.
- Scores, elapsed-time entries, judging selections, and notes submitted by the judge.
- Basic technical and connection information, such as IP address and server diagnostic records.
Passwords are transmitted to authenticate access but are not intentionally retained in mobile-app local storage. A team name and active session information may be stored on the device to support sign-in and session continuity.
Background location
The X-Games Team app collects precise location data while a team is signed in, including when the app is closed or not in use. This lets authorized dispatchers and judges monitor team progress, supports dispatch coordination and participant safety, and permits the team to use Google Maps navigation while continuing to report its position. Location sharing starts only after sign-in and stops when the user signs out. Android may display a persistent notification while background location is active.
The X-Games Judge app does not request device location permission.
How information is used
- Authenticate authorized users and operate the competition.
- Deliver assignments, navigation destinations, and operational notes.
- Show team positions and status to authorized dispatchers and judges.
- Record judging results and produce competition reports.
- Diagnose errors, maintain availability, prevent misuse, and protect the Services.
Disclosure of information
Operational information is visible only to authorized competition personnel as needed for their roles. Team location and status may be displayed to authorized dispatchers and judges. We may use hosting, database, mapping, and software service providers that process information only to provide the Services. We may disclose information when required by law or necessary to protect safety, rights, and the integrity of the Services.
We do not sell personal information, use location for advertising, or use the Services to display third-party advertising.
Data retention and deletion
Operational data is retained only as long as reasonably necessary to administer the competition, maintain required competition records, resolve disputes, provide support, and meet legal obligations. Device location records may be removed during event reset or earlier when no longer operationally necessary. Backup copies may remain temporarily until overwritten through normal backup rotation.
The apps do not permit users to create accounts; credentials are assigned by competition administrators. An authorized participant may request deletion or correction of information by following the instructions on our data-deletion page. We may need to verify the requester and may retain information where required for legitimate competition records, safety, fraud prevention, or law.
Security
Production communications use HTTPS encryption in transit. Access is restricted by authentication and role. No method of transmission or storage is completely secure, so absolute security cannot be guaranteed.
Children
The Services are not directed to children under 13 and are not offered for independent public registration. Credentials are issued through participating organizations for authorized competition use. Organizations supervising minors are responsible for obtaining any permissions required for participation and device use.
Changes
We may update this policy when the Services or legal requirements change. The effective date above will be revised when material changes are published.
